Contact form
The information you enter in the contact form (name, email, company, profile, topic, message) is emailed to contact@sooatek.com through the Brevo sending service (Sendinblue SAS, France), which keeps its own sending logs. It is then handled in our mailbox, hosted by Google Workspace (Google Ireland Limited). It is not stored on the website server. A short acknowledgement, without your name or the content of your message, is sent to the address you entered.
Our mailbox may be followed by Tsiaro, our internal assistant: an AI model running on our own hardware sorts the messages, and only the useful content may be passed to the model of an AI provider, Anthropic (United States), to prepare a draft reply. No reply is sent without being read and approved by a team member; no decision is made by automated means.
To keep out automated messages, the form uses ALTCHA, an anti-bot check hosted with the site: your browser solves a short computation, with no cookies, no third-party service and no analysis of your browsing. The server only keeps the identifiers of tokens and computations already used, not linked to you, for two hours at most.
To prevent abuse, the form script keeps a log without message content (hashed IP address, date, outcome), deleted after 30 days. Like any web server, the site’s server also keeps technical logs (IP address, date, page requested), deleted on rotation according to the host’s configuration. Legal basis: your request (pre-contractual steps, Article 6(1)(b) GDPR) and our legitimate interest in protecting the form (Article 6(1)(f)).
If you write to us directly at contact@sooatek.com, your message follows the same path in our mailbox and the same retention rules.
Recipients and transfers outside the European Union
Your messages are read by Sooatek’s principals and by the development team, all based in Madagascar, who prepare replies and projects. Madagascar is not covered by a European Commission adequacy decision: this transfer outside the European Union relies on its necessity to answer your request (Article 49(1)(b) GDPR). For a signed project, the contract sets out the safeguards that apply to the client’s data.
Processors that may handle this information: Brevo (email sending, France), Google (mailbox, Ireland, with possible transfers outside the European Union), Anthropic (draft replies, United States, under the safeguards set out in its commercial terms), OVH (website hosting, France). Only with your consent, Google (audience measurement, see above). Your information is never sold or used for advertising.

Retention periods
- Contact messages: as long as needed to handle your request and any resulting business relationship, then no more than 3 years after the last exchange.
- Form abuse log (hashed IP address, date, outcome, no content): 30 days.
- Web server technical logs and Brevo sending logs: period set by these providers, not used by us except in case of incident.
- Anti-bot tokens and computations already used (no personal data): 2 hours.
- Audience measurement: data kept for 14 months in Google Analytics, then deleted automatically; “_ga” cookies: 13 months at most; your choice (accepted or declined): 6 months in your browser.
- Theme choice: in your browser, until you clear it.
